    How to attract sponsors to your event.

    Following the previous two articles relating to sponsorship, this article guides event planners on how to strategically target their events to help attract sponsorship. Simply put, what will make sponsors come to you?

    One thing I have noticed from experience is that hard work pays off in the end, if you are consistent in what you do and work hard, ultimately, it will pay off. However, with the constant technological changes, you must now market your event smarter. We understand that we live in the numbers game, however, for events that do not yet have big numbers, we all need to learn how to market or events to get there.

    Simply put, marketing is about selling and advertising. It is about finding out what the consumers want and then providing it to them. This is the corresponding technique to attract sponsorship. Find out what the sponsors need and then attract their market. Sounds simple, but that’s just it.

    Before you attract a sponsor, your event must answer these three questions?

    1. Is my event concept attracting the sponsor’s target market?
    2. Does my event offer promising superior value?
    3. Is my event growing and delivering satisfaction to the sponsor’s target consumers?

    With the high level of competition for sponsorship, event marketers should further streamline their events to attract niche consumers (small market segment). The more you can attract a small section of the market, the better your chances are of getting sponsorship from brands who sell to that same market. Can you think of any niche market that your event concept fits?

    Focusing on a niche market gives your event a competitive advantage as you can target your marketing and reduce promotion cost. Furthermore, you may also find that your event has fewer competitors. However, you need to ensure that your event has a significant size to make it profitable for your organisation as well as attractive for the sponsors. In addition, the consumers need to have purchasing ability.

    In summary, events planners must take advantage of technological trends in the industry to help them work smarter. Ensure your event attracts niche consumers, provides value for and its delivering value for the sponsors target customers. Focus your event on niche consumers to get the attention of sponsors in that market.

    These are the five most important things to do before you approach an event sponsor.

    For any event marketer to be able to sell their ideas successfully to sponsors in these highly competitive markets, the marketer must be aware of the image/brand factor that the event possess. This enables the product (event) to be attractive to sponsors.

    To make your event more marketable, you should be able to express the meanings and perceptions that are associated with the event. The content of the event is not much of an attraction to sponsors, rather it is what the content means to the people that attend.

    Take for example a charity fashion show, the guests enjoy the designers and the side attractions, however, to a sponsor they are looking at the charity’s cause. Similarly, for a private organisation organising a fashion show, the sponsors will be interested in emotional attraction to the show. Therefore, identify the emotional associations between your event and your audience.

    Sponsorship is a key branding opportunity; therefore, you must understand how your event helps to bring value to the sponsors brand and be able to convey how your event helps to position the sponsors brand in the minds of the consumers as well as helping them gain a competitive advantage.

    In summary, before you approach a sponsor do your research to find out what the sponsors are looking to get out of their sponsorship. Try to find out the part sponsorship plays in the marketing mix of the sponsor, meaning how does sponsorship add to their marketing. You can understand this more by looking at how, what, when and where they are marketing.

    Furthermore, it always helps to have sponsorship packages that fit the sponsors marketing strategy. Understand what your event means to the consumers and how this relates to the sponsors brand and finally market your event in line with the commercial and reputational needs of the sponsors.

    Getting sponsorship for any events may not be an easy process, however, if you apply some basic principles and understanding, you will find it a lot easier to reach your target partners.

    Years ago, when I first started organising events, I would create the event concept, then print out loads of booklets, post as many as possible to companies using the big ‘yellow pages’.  Yeah, this was years before the internet. I never got any responses; therefore I would cancel the event as I had no funds to make it happen.

    Event sponsorship has evolved over the years from just being about brand awareness and association to brand interactions and engagement with consumers and stakeholders. The more your event hits these three essential points, the better your chances are of getting the right sponsorship that fits your event.

    From our previous article, we talked about the strategy of building your event to attract your sponsors.  Sponsors always lookout for what is good for their brand. One thing that we often overlook is, what is the character of the organiser? Using social media, we can find out comments and activities of event organisers and how well their character influences others. So, if your social media contents are against the values and ethics of a brand, this may affect your opportunities.

    On the surface however, sponsors what to know your target market. We will discuss marketing/promoting events on a later topic. Nevertheless, the question you must ask yourself is, are the guests attending my event the same demography with the market that patronises the sponsor’s product or services?  For example, you are hosting an event that attracts young mothers, you can then approach companies that provide a service to this segment of the market.  However, this is just one benefit. It does not mean, that just because you fit their market, they would buy your event, they get 100’s of similar proposals each day. Again, what is your competitive advantage?

    Imagine having this great event in your head, you spend so much time planning how the venue is going to be decorated, what you going to wear, the music you would like to play and the catering. You give so much attention to the ambience and aesthetic of the event before you start thinking of the demography of the people you would like to invite, unfortunately, this is the reverse.

    How to get the right set of people to come to your event (Marketing) is critical at the early stage. Knowing your target audience helps you plan the ambience, theme, and genre. Once you can identify your demography as we discussed in the previous exercise, you can then tailor your theme to fit what they would like. Not what you will like.

    Many event planners fail because they impose what they like when discussing with clients, rather than getting to know more about the guests and client objectives.

    Marketing is a wide topic, however, there are necessary elements you must learn that will assist you in marketing your event better.

    • Product: Your event is a service, and it must meet the need of your audience.
    • Price: You should charge what the current economic climate reflects, how much value you are adding and relative to the net-worth of your guests. Here I would like to mention, where possible, please do not plan working capital based on your event ticket sales.
    • Promotion: What is the most cost-effective channel to help reach your target market, and how will you measure that.
    • Place: Where is the event going to hold. Does it fit your target audience?

     

    In summary, think of what type of guests you would like to attract and then build your event theme and marketing around them.

    There is a time and season for every event. Following on from our events planning series, your strategy when planning for an event should recognise the timing.

    Your framework should consider the season, month, weekday and time of the day. All these factors influence the overall guest’s experience and decision making.

    You need to be aware of any planned events by organisations in your strategic group, to ensure that they do not directly conflict with your event. Furthermore, your indirect competitor’s events can also impact your event. For example, a football game holding in the same area of your event will create logistical and safety challenges, as well as any Mega event scheduled.

    The time of the day and day of the week plays a key role in determining what demography of guests will attend your event.

    I always advise that the success of any event is a combination of getting the small things right. Remember, all events have a time and season, so get the timing right. What we do as event managers is to close the gap between customers expectations and their event experience.

    Characters Bio’s

    Bella is a hardworking and African traditional loving lady. She protects her relationships but feels she is being used.  

    Peter is a confused African man who finds himself pushed to love. He has a very calm and emotional character. Although, his fuse lights up on odd occasions.

    Olivia is a 12–15-year-old child Girl full attitude. Leaving with her mum may just have made her more sensitive and care free.
